Looks like there is a premier inn in High Wycombe (2 miles), and slightly cheaper stuff in Maidenhead (4 miles). Are those likely to be best options?

Well, I’ve never used them. If you’re doing public transport, Maidenhead near the station will be easier - there’s a train per hour to Bourne End that takes about twelve minutes, last one back at 2325. (There used to be a line from High Wycombe through Loudwater and on to Bourne End, but Beeching happened and now you’d be thrown back on local buses, which I wouldn’t recommend.)
Bobbins, it’s my partners birthday weekend so my chances of wrangling myself down south are slim.

(The room is now not only booked but paid for. I should be able to pick up the keys a few days beforehand, so we’re not relying on someone else to turn up and let us in.)

So with this sort of approaching what are we doing for games? Each bring some and feel through the day as and when or something involving a spreadsheet and sign ups?

Anyone looking for a very specific game or type of game should probably broadcast it and people could reach out to confirm their interested, and maybe start discussing schedule options.
People could also mention games they want to bring and/or bring if requested; perhaps gauging interest to decide what games to bring along. Out-of-towners and those arriving by public transport would probably benefit by A) knowing there are interesting options awaiting them and B) letting them cherry-pick a few key games to bring along that has interested audiences awaiting
My rule of thumb is the bigger, longer, more complex the game the more arrangement it’s worth making about it. So for example I will not haul along Star Trek Ascendancy unless people ask for it, but I’m very likely to have Rallyman GT and Sentinels of the Multiverse.
This would be my instinct. Pre arrange bigger/longer event games and smaller games adhoc. As I’ll be only along on the Saturday and travelling by train and going home same day so I’ll bring a couple of lighter games unless there are specific requests from my collection.
My thinking was to look at smaller games to meet and play with more people but would happily do something bigger/special if it would be helpful to make the day

Would anyone fancy an 8-player version of The Thing: Infection at Outpost 31? Supposed to be at its best with a higher player count and I haven’t managed to bring it anywhere yet.
Also could bring Spirit Island and Perditions Mouth if anyone fancies those.
I’d be up for a few of those if you bring them over, especially Faiyum and Cyclades.

My preferred approach is also for a bunch of shorter games, which by my weird war gamer thinking is anything that takes about 2 hours or less to play, in order to try and play as many different games with as many different people as possible over the weekend.
I’ll never turn down a game of Spirit Island though!
One game I’m very keen to try is Colt Express. Roger introduced it to me last time we met, but it fell flat for me because there were only three of us. But it felt like the kind of game that would be an absolute hoot at full player count.
And, Roger, don’t leave home without Rush ‘n’ Crush - can’t wait to try it!
